Program Services Supervisor

POSITION TITLE:     Program Services Supervisor

FLSA STATUS:  Non-Exempt

PROGRAM: Community Services Department

 

THIS POSITION REPORTS TO:  Director of Community Services

 

 

DUTIES AND RESPONSIBILITIES:

Under the supervision of the Director of Community Services, the Program Services Coordinator will provide support to management in the areas of, but not limited to; reporting, billing and follow up communication with YSB, Whittier GAP, and Gang & Gender staff.  The Program Services Coordinator will also review and proof read the work of others, and will work closely with the Director of Community Services to create strategies to stay on top of referrals and maximization of contracts.

 

 

DUTIES:

  1. Along with the Director of Community Services, supervise the performance and activities of Community Services program staff and subcontractors, including supervision of education and intervention services, parent support groups and case management services.

  2. Be responsible for the overall operation of Community Services programs including the supervision of staff, monitoring of subcontractor services, contract compliance and evaluation.

  3. Be the central point of contact for the County regarding the program and its services to the community.

  4. Collaborate with Clinical Quality Assurance to ensure proper staff orientation, training, documentation, and audit preparedness for all contracts.

  5. Regular follow up and coordination with staff for Community Services programs.   The follow up and coordination will consist of peer reviews, peer audits, groups, pro-socials, and mentoring activities.  The incumbent will also be responsible to ensure that counselors submit their group schedules to Probation as needed.

  6. Responsible for distribution and collection of referrals, intake process and assignment of cases, in particular ensuring that referrals are returned to PAUR within the required time frames.

  7. Assist staff with coordination of events/activities, including transportation needs, scheduling conflicts, developing alternative options for activities.

  8. Responsible for assigned billing and reconciling any issues or concerns, including attendance at Finance meetings and assistance with monthly billing forecast and strategy.

  9. Responsible for monthly reporting, including, but not limited to tracking logs, billing reports ( Monthly Referral Logs), demographic reports, monthly narratives, and annual reports.

  10. Assist Director of Community Services with scheduling meetings and developing agendas for staff meetings.

  11. Represent the Agency in the Community by participating in collaborative, interagency coalitions and community organizations to address critical issues related to promoting safe and stable families in Southeast Los Angeles County.

  12. Perform other duties as assigned.


 

REQUIREMENTS:

  1. Demonstrated previous experience in the supervision and management of direct service personnel and community programs.

  2. Experience in community based services programs.

  3. Willingness to work a flexible schedule, including evenings and on weekends.

  4. Should be able to effectively communicate, in English, both orally and in writing.

  5. Strong relationship-building and organizational skills.

  6. Ability to effectively work with people of diverse backgrounds.

  7. Ability to pass background check and criminal clearance.

  8. Valid California driver’s license, current auto insurance, and a good driving record.

 

PREFERRED QUALIFICATIONS:

  1. Proficient in general office procedures and operations.

  2. Proficient in Microsoft program applications.

  3. Bilingual in English and Spanish.
